Microsoft Dynamics GP Business Portal Implementation Notes

We certainly understand and respect new technology embracing approach. In order to implement Microsoft Great Plains Business Portal - you should come through implementation guide and understand the architecture of Business Portal and how it integrates with back office - Microsoft Dynamics GP. You should clearly understand what is GP and what is Business Portal and where they have "shared territory" - which SQL databases they both use and share and how BP utilizes GP eConnect, MS Exchange, Terminal Services; how document is processes in BP and then how it travels down to GP; how to create report sharing BP and GP data, etc.

o GP typical document workflow. Please, think about such BP module as Requisition Management. Let's try to track RM document life cycle. In Business Portal: employee creates Purchase Request and submits it to the manager for approval. Manager (from Approval hierarchy) reviews PR, makes required changes (selects vendor, expense account, price, inventory item, site - all or some of these decisions will be available to the approver in the hierarchy, based on BP RM security settings) and document goes up through approval hierarchy, finally reaching purchasing clerk. Purchasing officer creates Purchase Order (or adds the lines to existing PO for the same vendor) - at this moment the document reaches Great Plains. In GP it shows up as Purchase Order, which has GP approval (this is typically not as complicated as in BP RM). When PO is approved in GP - it should be sent to the selected vendor as official PO. Vendor furnishes requested items typically with vendor invoice; in some cases vendor invoice is sent separate - these two scenarios in GP are handled as Purchase Receipt and PR with Vendor Invoice

o BP is GP extension. As you can see from the above example - BP Requisition Management module could be considered as an extension to Great Plains. Similar conclusion could be made for HR and Employee Self Service module - this BP module requires either GP Payroll or GP Human Resources modules (or both) implemented in GP backoffice.

o BP Hosting Databases. Microsoft Great Plains allows you to add objects: tables, SQL views, stored procedures, triggers to existing GP databases, such as Dynamics (GP system database) and company databases. "Allows" means - these custom object will not be wiped out with GP version upgrade. GP tables names are not "human friendly": IV00101, GL00100 - these are probably coming from UNIX naming traditions; BP tables names, in contrast, are easily recognizable: ReqMgmtDocument and ReqMgmtLines - these names you can probably recognize, don't you? BP places it tables in Dynamics and companies databases, so in order to create BP-GP report - you will need to review BP tables and views and research GP tables: Tools->Resource Descriptions->Tables.

o BP licensing. This is where you get cost efficiency. You don't want to pay costly GP user licenses for your employees and people who places purchase requests (typically all your office employees). Instead you purchase BP user licenses (which is below per user/employee)

o eOrder, eRequisition version upgrade. Sometimes this is confusing issue. BP for GP 8.0 and 9.0 is completely rewritten in .Net product and such legacy ASP applications as eOrder, eRequisition, eEmployee, etc. are rewritten as well in BP. In other words - if you used eXXX series of products - you will need to redeploy or even reimplement them in Business Portal.

When requisition is submitted by your fellow employee, it goes to the table of let's say department manager, who simply places cost restrictions and approves this requisition passing it over to - at this time again vendor and your inventory item ID is not yet known. OK, now it is on the table of professional purchasing folk (let's say ex-military negotiation maestro). This new key player sends out requisition request to potential vendors, collects bids and selects the best offer for purchase order - at this time vendor should be identified, plus item id preferably inventory account number. Out With the Old - Rethinking Outdated Intranet Portal Models - Part I - Introduction

Over the last few years, the social media boom has forced Intranet portal vendors to rethink some of their licensing models and expand their feature functionality. "Traditional" intranet portals that are simply presentations layers with a back-end content management system just don't cut it anymore. Instead, organizations want their employees to generate peer-to-peer content using 2.0 functionality like blogs, wikis, and tagging instead of relying on one-way messages from the top.

The collaborative efforts of the open source community have also delivered new products into the marketplace, driving the cost of software down and injecting healthy competition into the portal industry. On top of new features and pricing models, new hosting options such as Software as a Service (SaaS) and cloud hosting provide organizations additional options to consider when building or upgrading their portal. All of this spells opportunity for Intranet pros looking to make changes.

In the later sections of this four-part article, we'll take a look at some of the specific software vendors and new platforms that are reshaping portal price tags, but before we jump into the specific products, let's take a look at a recent, real-world example of how much the climate has changed and how big the impact can be to a company.

In 2006, I was involved in an Intranet project for a Fortune 500 telecommunications company with an employee base of around 25,000. After identifying the requirements for the portal, the search for a suitable software package led the project team to three real contenders: BEA Systems' Aqualogic portal (now Oracle WebCenter), Sun Microsystems' SunOne portal (now defunct), and the Vignette Intranet portal (now part of OpenText). All three offered a customizable presentation portal, content management system, search, forums and emerging blog/wiki functionality. However, each solution also required significant server hardware to be purchased and resources to be devoted to the maintenance of the hardware and the application. After the final solution was selected and the appropriate hardware was purchased, the pricetag for the selected software and hardware tallied up to more than million. Take note that the selected solution was the least expensive of the three.

Now, flash forward to 2009. I recently had lunch with the current manager of that specific Intranet solution and he and I were discussing the changes to the industry and the merits of both open source and hosted (SaaS) solutions. Knowing the price tag of the original solution and the annual software maintenance fees (20% of initial software costs), it took some simple math to come to the conclusion that he could take the annual maintenance of about 5,000 and easily replace the existing system for a hosted solution costing about ,000 annually.

With the less expensive solution, he would get:

A 37% reduction in software costs (0,000 dropped to ,000) in year one. A 93% reduction in annual software maintenance costs (0,000 dropped to ,000) in the following years. A reduction in hardware costs, allowing 0,000 in hardware to be re-purposed in the enterprise or decommissioned. No employee headcount required to maintain hardware, so reduced costs in employee overhead. The SaaS vendor would now be accountable for a 99% server uptime (No more outage calls at 3am when the servers stop responding or a load balancer fails). Continued evolution of the product since the annual maintenance buys him product upgrades from the vendor. New Web 2.0 functionality offered by SaaS vendors that isn't offered by the current vendor. So basically, this Intranet Manager gets more functionality for his users, a stable platform that allows him and his team to sleep at night, and a significant reduction in annual software costs that makes him a corporate hero with the Accountant and Execs!

A second option that we discussed was looking at a lower cost software vendor or an open source solution. In these situations, he would still reduce his annual software licensing costs significantly, but would still require the hardware and headcount to maintain it. The ROI, however, is still positive in year one due to the huge reduction in software maintenance fees.

Obviously, the ROI for this organization is magnified by the size and extensive software/hardware requirements of the company. However, it's likely that any Intranet portal built on the traditional perpetual software licenses/standalone hardware model could benefit from a review of the existing system and an analysis of potential replacement technologies. So, before you cut that next software maintenance check, take a few moments to think about how much you're paying and where you might get some additional bang for your buck.

If you are consulting Great Plains Dynamics customers, you probably remember old good days when eCommerce solution could be built on eOrder module platform. eOrder was written in Interdev as ASP application, and as such could be modified deirectly in its ASP pages. This customization did the job until new version upgrade, when as part of the upgrade you had to reapply your custom changes to eOrder Asp pages as new version update simply was wiping out old version eOrder pages and placing new version pages on the top. Let's quickly review what it means to you if you were supporting and implementing old eOrder and now you will have to move your customer to GP Business Portal platform:

2. Order Management setup. Here cental part is Catalogue manegment, which has separate program needed to be installed separate from Business Portal. If you remember eOrder catalog management should be reasonably intuitive for you to set it up

3. eConnect stack. Business Portal and Order Management deploy eConnect in the back side. eConnect is the set of SQL stored procedures, allowing you to create various Great Plains master records and transactions. This excurse may seem not really informative, but you may expect eConnect and so, Business portal installation problems, if you do not have the idea about eConnect architecture

4. Legacy e-commerce phasing out step by step. If your website is written in legacy ASP pages, you should not switch to new e-commerce over night. Instead you should consider scenario when you register your business portal Url with your domain registrar, keeping the main web site at the same old ip address.
